Information we collect
We collect information that you provide directly, information generated when you use our services, and limited technical information collected automatically when you visit the site.
- Contact details you submit through our quote request and contact forms, such as your name, company, email address, phone number, and the details of your request, and any application materials you email to us
- Documents, recordings, and other materials you send us for translation, transcription, or review, along with any personal information they contain
- Scheduling information for interpreting assignments, including dates, locations, languages, and the names of participants where required to deliver the service
- Billing and account information needed to invoice for services (we do not store full payment card numbers on this website)
- Technical data such as IP address, browser type, device type, pages visited, and referring pages, collected through cookies and similar technologies
How we use your information
We use the information we collect to deliver and improve our services and to communicate with you. We do not sell your personal information.
- To respond to quote requests and questions and to schedule, deliver, and invoice for services
- To assign qualified interpreters, translators, and transcriptionists to your project
- To maintain records required by our clients, our certifications, and applicable law
- To send service-related notices and, where you have agreed, occasional updates about our services (you may opt out at any time)
- To monitor, secure, and improve the performance of this website
- To comply with legal obligations and enforce our terms
How we share information
We share personal information only as needed to provide our services or as required by law. The linguists who work on your assignment receive only the information they need to perform the work, and every interpreter, translator, and transcriptionist in our network is bound by a written confidentiality and non-disclosure agreement.
We may also share information with service providers who support our operations, such as scheduling, hosting, email, and payment processing vendors, who are permitted to use it only on our behalf. We may disclose information when required by subpoena, court order, or other legal process, or to protect the rights, property, or safety of Focus Interpreting, our clients, or others.
Protected health information and HIPAA
Many of our clients are healthcare providers, insurers, and workers' compensation administrators. When we receive protected health information (PHI) on behalf of a covered entity, we act as a business associate under the Health Insurance Portability and Accountability Act (HIPAA) and handle that information in accordance with our business associate agreement and the HIPAA Privacy and Security Rules.
Our interpreters and translators complete HIPAA training, PHI is shared only with the linguists assigned to the encounter or document, and we apply administrative, physical, and technical safeguards appropriate to the sensitivity of the information. Please do not send PHI through the public contact form; use the secure channel agreed with your project coordinator.
Data retention
We keep personal information only for as long as it is needed for the purpose it was collected, to meet our contractual and legal obligations, and to resolve disputes. Project files are retained in line with the schedule agreed with each client and are then deleted or returned. Records needed for accounting, tax, and certification audits are retained for the period required by law.
Cookies, analytics, and advertising
This website uses cookies and similar technologies for three purposes: to keep the site secure and remember your preferences (strictly necessary), to understand how visitors use our pages (analytics), and to measure and improve our advertising (marketing). Strictly necessary cookies, including the one that stores your cookie choice, are always active. Analytics and marketing cookies are used only as permitted by your choice.
Depending on the campaigns we are running, the site may use the following tools. They collect information such as your IP address, device and browser type, the pages you visit, how you arrived at the site, and interactions such as form submissions and phone clicks. The marketing tools may also use identifiers to recognise your browser on other websites.
We use Google Consent Mode, which adjusts Google tags to your choice: when analytics or marketing storage is declined, those tags do not set cookies and send only limited, cookieless signals. Visitors in the European Economic Area, the United Kingdom, and Switzerland have all non-essential tags withheld until they accept.
You can accept or decline non-essential cookies in the banner shown on your first visit and change your choice at any time using the “Cookie preferences” link in the footer of every page. We also honour the Global Privacy Control browser signal: when your browser sends it, we treat it as a request to opt out of the sale or sharing of your personal information and keep marketing cookies off. You can also control cookies through your browser settings; declining cookies does not affect your ability to request a quote or contact us.
When you submit a form, we record how you found us, such as the search engine, campaign, or referring website and any advertising click identifier, alongside your request so that we can respond appropriately and understand which of our efforts bring clients to us. This information is stored in your browser rather than in a cookie and is sent to us only with a form you choose to submit.
- Google Tag Manager and Google Analytics 4 (Google LLC): traffic measurement and site improvement
- Google Ads conversion tracking (Google LLC): measuring responses to our advertising
- Microsoft Clarity and Microsoft Advertising UET (Microsoft Corporation): usage insights and advertising measurement
- Meta Pixel (Meta Platforms, Inc.): advertising measurement and audiences
- LinkedIn Insight Tag (LinkedIn Corporation): advertising measurement and audiences
How we protect your information
We use reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, loss, or misuse, including encrypted connections, access controls, and confidentiality agreements with staff and linguists. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we review our practices regularly.
Your privacy rights
Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, to restrict or object to certain processing, and to receive a copy of your information in a portable format.
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), gives you additional rights, including the right to opt out of the sale or sharing of your personal information. These are described in the “Your California privacy rights” section below.
To exercise any of these rights, contact us using the details below. We will verify your identity before responding and will reply within the time required by applicable law.
Your California privacy rights
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), gives you specific rights over your personal information. This section supplements the rest of this policy and applies only to California residents.
We do not sell personal information. When marketing cookies are enabled, advertising tools from Google, Meta, LinkedIn, and Microsoft may collect identifiers from your browser, which the CPRA treats as sharing for cross-context behavioral advertising. You can opt out at any time by selecting the “Do Not Sell or Share My Personal Information” link in the footer and turning off marketing cookies, or by enabling the Global Privacy Control signal in your browser, which we honour automatically. Your choice is stored in your browser, so please repeat it if you clear your cookies or use a different browser or device.
To exercise your right to know, delete, or correct, email info@focusinterpreting.com with the subject line “California privacy request” or call 800-374-5444. We will confirm receipt within 10 business days and respond within 45 days, extending that period once by a further 45 days where reasonably necessary. We verify your identity by matching the information you provide with what we already hold and may ask for additional information for that purpose. You may authorize an agent to submit a request on your behalf; we will ask the agent for proof of authorization and may also ask you to confirm the request directly.
We do not knowingly sell or share the personal information of consumers under 16 years of age, and we use sensitive personal information only to provide the services you request.
- Right to know: request the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the categories of third parties with whom it has been shared
- Right to delete: request that we delete personal information we have collected from you, subject to exceptions such as completing a transaction, meeting legal obligations, or keeping records required by our clients and certifications
- Right to correct: request that we correct inaccurate personal information we hold about you
- Right to opt out of sale or sharing: direct us not to sell your personal information or share it for cross-context behavioral advertising
- Right to limit the use of sensitive personal information: restrict its use to what is necessary to provide our services
- Right to non-discrimination: we will not deny you services, charge different prices, or provide a different level of service because you exercised any of these rights
Children's privacy
This website is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children through the site. Where our services involve minors, for example in educational or medical settings, we process their information only on behalf of the responsible institution or guardian.
Changes to this policy
We may update this policy from time to time to reflect changes in our practices or the law. The date at the top of this page shows when it was last revised. Material changes will be posted on this website before they take effect.
